This policy explains how we collect, use, store and disclose personal information, and how you can access or correct it or make a complaint. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
We only collect what we need to provide our services and meet our legal obligations. Depending on how you deal with us, this may include:
- Contact details: your name, email address, phone number and postal address.
- Business details: business or company name, ABN or ACN, and the people authorised to act for the business.
- Plan and account details: the plan you choose, billing period, service preferences and your member account.
- Identity information: the details and documents needed to verify your identity, such as a driver licence or passport, collected through our verification provider.
- Payment information: payments are processed by our payment provider. We do not store your full card details.
- Mail and call information: details of mail we receive for you (sender, date, and scans you request) and messages taken for you on plans that include a phone service.
- Enquiries and messages: anything you send us through our forms, email, chat or messaging, including conversations with our automated website assistant.
- Website and advertising data: pages visited, device and browser information, and how you arrived at our site (for example, advertising campaign details), collected using cookies and similar technologies.
How we collect it
We collect personal information directly from you when you complete a form on our website, sign up for a plan, complete identity verification, sign an agreement, pay, join a waitlist, or contact us. We may also collect information from the people you authorise to deal with us, from our service providers when they provide services to us, and from publicly available sources such as the ABN Lookup and ASIC registers.
You can contact us without giving your name, but we cannot provide a business address or registered office without identifying you and your business.
Why we use it
We use personal information to:
- respond to enquiries and send you the information you ask for;
- assess and approve applications, including verifying identity, which a person reviews before any address goes live;
- provide our services, including receiving, scanning and forwarding mail, handling calls and messages, and managing coworking and meeting room bookings;
- set up and manage your account and member portal, take payments and keep records;
- meet our legal and regulatory obligations, including identity verification, anti-money laundering and counter-terrorism financing requirements, and responding to lawful requests from authorities;
- tell you about new Harmony services, such as coworking and studio launches, where you have agreed or are allowed by law (you can opt out at any time); and
- measure and improve our website and advertising.
Overseas disclosure
Some of our service providers store or process information outside Australia, including in the United States and other countries where their data centres are located. When we use overseas providers, we take reasonable steps to make sure they handle personal information in a way that is consistent with the Australian Privacy Principles.
Cookies and advertising
Our website uses cookies and similar technologies, including the Meta Pixel, to understand how visitors use the site and to measure and improve our advertising. Information about your visit, such as pages viewed and form submissions, may be shared with Meta to match it to ad campaigns.
You can block or delete cookies in your browser settings, and manage ad preferences in your Facebook or Instagram settings. Some parts of the site may not work as well without cookies.
Storage and security
We store personal information electronically with reputable service providers and take reasonable steps to protect it from misuse, interference, loss, and unauthorised access, change or disclosure. These steps include access controls, staff access only where needed, and secure handling of mail at the premises.
We keep personal information only for as long as we need it for the purposes above or as required by law. Records connected with identity verification and financial transactions are kept for the periods the law requires. After that, we securely destroy or de-identify it.
If a data breach is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.
Marketing
If you join a waitlist or agree to hear from us, we may send you updates about Harmony services. Every marketing email includes an unsubscribe link, and you can also ask us to stop at any time. Service messages about your account, such as mail notifications and billing, will still be sent while you are a member.
Access and correction
You can ask to access the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date, incomplete or misleading. Send your request through our contact form or by post to the address below. We will respond within a reasonable time, usually within 30 days. We may need to confirm your identity first, and in limited cases the law allows us to refuse access; if so, we will explain why.
